Is it possible to create generic document matching templates? For example, we have a standard cash reconciliation template that outlines reconciling items and includes vouching to subsequent bank statements. However, when I save this template and rerun the document match, it pulls in the reconciling items from the original bank reconciliation used to create the template, rather than from the new reconciliation we're testing.

Getting to your question, I’ve only seen what you are describing happen if the case matches one of the below:

  • The same source document set is still attached to the template
  • The output cells still contain prior results
  • The input table still points to the old reconciliation sheet or range

Is there a chance that one of the above is the case here?

 

What you can do to achieve a “clean-slate” save basically, would be to:

1) Prepare a clean worksheet

Open the workbook used to build the template.

Delete all prior matches in the output columns. Remove any leftover snips or values produced by earlier runs.

Keep only:

  • Your input table headers and empty rows for new data
  • Output column headers
  • The Document Matching configuration and options

2) Save the template from a clean state

Open Document Matching and confirm inputs and outputs are defined, but there are no results on the sheet.

Save as Template. This captures structure and options, not prior results.⁠

 

You can then reuse the template on a new reconciliation with the following steps:

  • Open the saved template
  • Replace the source documents with the new period’s bank statements folder. Do not reuse the old evidence set
  • Point the input table to the current reconciliation’s rows and sheet
  • Click Match all rows

 

Now whether you are able to have those templates accessible to the whole team would depend on what package you are on and whether you have access to the “Company Templates” feature or not.
